Role Based Security

Roles can be considered as groups of individuals to whom access privileges are assigned in a project. Project Administrators can define what each role can view. Projectmates has a default set of roles based on standard industry practices such as architects, general contractors, owners, guests and so on. However, Projectmates makes it easy to customize roles based on a project's needs.

Each project has roles unique to that project. (These roles can also be standardized across portfolios of projects.) Once a user is authenticated, the rights are based on the role the user is assigned to.

Two-Factor Authentication

Two-factor authentication or "2FA", also known as "multi-factor authentication", is an essential security feature for executive team members who are approving items. Adding another layer of security for enterprise level clients was the foremost concern in the recent wake of security breaches targeting financial institutions.

2FA requires both a password and additional information only the authorized user has access to. By leveraging 2FA, the instances of identity theft or a rogue intruder decreases immensely.

Projectmates is a SaaS product. As such, our data retention policy is to store and backup all data and files continuously throughout the term of our agreement. Our system does not include any automation to delete data or files after a certain amount of time. At the conclusion of our agreement, when the contract has been terminated or not renewed, we are obligated to destroy all data that belongs to the client.

What if you could take a snapshot of your entire construction program, to ensure you have complete and accurate records for security and posterity purposes? Secured and highly redundant file storage:

Active Geo-replication for Databases:

·         Databases are equipped with Point-in-Time restoration up to 35 days.

·         Traffic is automatically switched to a secondary location in case of a failure.

Systemates is the proud holder of SSAE 16 SOC 2 Type II certification. This audit focuses on a business's non-financial reporting controls as they relate to security, availability, processing integrity, confidentiality, and privacy of a system. Having this report means that as a technology company, we have gone a step further to define our services, along with the supporting processes, policies, procedures, personnel and operational activities that constitute our activities that are relevant to users.

SOC 2 framework is a comprehensive set of criteria known as the Trust Services Principles (TSP) that are composed of the following five (5) sections:

Every user is required to have a unique user name and password to access the Projectmates software. There are several security levels: site administrators, project administrators, project co-administrators and team members.

Site Administrators

Site administrators are sometimes referred to as super users. They have full access to the control panel that is used to customize settings for the Projectmates software. Some of these settings affect the functionality of Projectmates. The site administrator can park, unpark or permanently delete any project.

Site Administrators have full access to view active users, add or remove new users, and monitor user login history.

It is recommended to keep the number of Site Administrators to a minimum for control and consistency of all projects on the site.

Project Administrators

Each project has one administrator. The project administrator has access to the project control panel which allows the project manager to customize settings that pertain only to that project. These settings will not modify other projects.

Project Administrators have the ability to flag the project for removal or park (hide) them. However, they cannot permanently remove projects.

Project Co-Administrators

Although each project can only have one project administrator, the project administrator can designate Co-Administrators.

Co-Administrators have access to change the settings for the project but are restricted from performing some high level commands such as marking the project for deletion.

Team Members

Team members are also referred to as general users. When setting up a new project or adding new team members to an existing project, the project administrator has complete control of each team member's access within the project.

Using a role-based security model, the project administrator can set privileges specific to each team member based on their role in the project, allowing them access to only the information and documentation they need to complete their portion of the work.
